Terms & Conditions

Last updated: December 4, 2025

1. Introduction

Welcome to AI Meet ("we," "us," "our," or "Service"). These Terms & Conditions ("Terms") govern your use of our voice conversation platform where you can engage in multi-participant meetings with AI models.

By accessing or using AI Meet, you agree to be bound by these Terms. If you do not agree to any part of these Terms, you may not use the Service.

2. Audio Recording & Transcription

Audio Capture: When you use AI Meet, your microphone audio is captured and recorded locally in your browser. This audio is automatically transcribed using speech-to-text technology and sent to our servers for processing.

User Consent: By clicking "Allow" when prompted for microphone permissions, you consent to audio recording and transcription. You can revoke this permission at any time through your browser settings.

Data Minimization: Audio data is processed to generate transcripts and is not permanently stored on our servers after the session ends (default 24-hour retention for authenticated users, 2-hour retention for guests). Only the transcript text and participant metadata are retained as part of your session history.

Third-Party Services: Audio transcription is performed using external AI services (e.g., OpenAI Whisper API). By using AI Meet, you acknowledge that your audio transcripts may be processed by these third-party providers in accordance with their privacy policies.

3. AI Processing & Responses

AI Models: AI Meet uses multiple AI language models (GPT-4o, GPT-4o Mini, GPT-4.1 Mini) from OpenAI to generate responses in multi-participant conversations.

AI Output Disclaimer: AI-generated responses are created by machine learning models and may contain inaccuracies, biases, or inappropriate content. AI Meet does not guarantee the accuracy, completeness, or appropriateness of any AI-generated output. You are solely responsible for evaluating the accuracy and suitability of AI responses for your purposes.

Data Processing: Your messages, transcripts, and attachments (including images) are sent to AI models for analysis and response generation. These inputs are processed according to OpenAI's API terms and privacy policies.

Conversation Context: AI models maintain context within a single meeting session to provide coherent multi-participant conversations. This context is cleared when the session ends.

4. Image Attachments & Vision

Image Upload: You may upload images to share during meetings. These images are transmitted to our servers and AI models for analysis.

Image Storage: Images are treated as ephemeral data. They are not permanently stored and are deleted after the session ends.

Content Responsibility: You are responsible for ensuring that any images you upload do not violate intellectual property rights, contain private personal information, or violate the rights of others. You represent and warrant that you have the right to use and share any images uploaded to AI Meet.

5. User Responsibilities

You agree to use AI Meet in a lawful manner and not to:

  • Share sensitive personal, financial, or confidential business information that should not be processed by AI models
  • Use AI Meet for illegal activities or to generate harmful, defamatory, or abusive content
  • Attempt to reverse-engineer, hack, or interfere with the Service
  • Upload malicious content, viruses, or harmful files
  • Violate the intellectual property rights of others
  • Impersonate others or misrepresent your identity
  • Share another person's personal data without consent

Violations may result in account suspension or termination of access to the Service.

6. Session Management & Data Retention

Session Duration: Meetings are stored temporarily. For authenticated users, sessions are retained for 24 hours. For guest users, sessions are retained for 2 hours.

Transcript Access: Authenticated users can access session transcripts through the "Transcripts" page. Guest users have limited access and sessions are not retained beyond the retention period.

Data Deletion: After the retention period expires, session data is automatically deleted from our servers. You can manually delete sessions at any time.

Backups: Data may be retained in backup systems for up to 30 days for disaster recovery purposes.

7. Authentication & User Accounts

Auth0: User authentication is managed through Auth0. By using AI Meet, you agree to Auth0's terms and privacy policy. Your account credentials are handled securely through Auth0 and are not stored directly by AI Meet.

Account Security: You are responsible for maintaining the confidentiality of your login credentials. You agree not to share your account with others.

Guest Access: Guest users do not require an account but have limited functionality and shorter session retention.

8. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, AI MEET IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

WE SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF DATA, REVENUE, OR BUSINESS OPPORTUNITIES, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

OUR TOTAL LIABILITY FOR ANY CLAIM ARISING FROM OR RELATING TO THESE TERMS OR YOUR USE OF AI MEET SHALL NOT EXCEED THE AMOUNT YOU HAVE PAID FOR THE SERVICE IN THE PAST 12 MONTHS, OR $100, WHICHEVER IS LESS.

12. Termination

We may terminate or suspend your access to AI Meet immediately, without notice, for violations of these Terms or for any reason in our sole discretion.

Upon termination, your right to use the Service ceases immediately. We are not liable to you for any damages resulting from termination or suspension of your access.

Sections of these Terms that should reasonably survive termination (such as Limitation of Liability, Disclaimers, and Intellectual Property) shall remain in effect after termination.

13. Governing Law & Dispute Resolution

These Terms are governed by and construed in accordance with the laws of the jurisdiction in which AI Meet is operated, without regard to its conflict of law provisions.

Any legal action or proceeding relating to your use of AI Meet shall be brought exclusively in the courts located in the applicable jurisdiction, and you consent to the personal jurisdiction and venue of such courts.
