This Privacy Policy explains how AI Meet ("we," "us," or "our") collects, uses, and safeguards your information when you use our multi-voice meeting platform.

By accessing AI Meet, you agree to this Policy. If you do not agree, please discontinue use of the Service.

2. Data We Collect

  • Account data: Email, name, and profile image provided via Auth0.
  • Session data: Meeting session IDs, participant names, timestamps, and transcript text.
  • Audio & media: Microphone audio is captured for live transcription; audio is not retained after processing. Uploaded images are processed and deleted after the session.
  • Usage data: Device, browser, and interaction events used for performance and security monitoring.
  • Cookies & storage: Authentication cookies plus localStorage/sessionStorage for preferences and active session state (see Cookies Policy).

3. How We Use Your Data

  • Provide and secure the meeting experience, including authentication and access control.
  • Generate live transcripts and AI responses for participants.
  • Maintain session history for the retention period (24 hours for authenticated users, 2 hours for guests).
  • Improve reliability, performance, and user experience.
  • Comply with legal obligations and enforce our Terms.

4. Legal Bases (EEA/UK)

  • Contract: To deliver the Service you request.
  • Legitimate interests: To secure the platform, prevent abuse, and improve performance.
  • Consent: For microphone access, analytics where required, and any optional features.

5. How We Share Information

We do not sell your data. We share data only with trusted providers necessary to run the Service:

  • Auth0: Authentication and session management.
  • OpenAI: AI models for language, transcription, and vision processing.
  • Upstash: Session storage and caching.
  • Vercel: Hosting, performance monitoring, and analytics.

These providers process data under their own privacy terms. We may disclose information if required by law or to protect the security of the Service.

6. Data Retention

  • Sessions: 24 hours for authenticated users; 2 hours for guests.
  • Transcripts: Retained with the session; deleted when the retention period ends or when you delete the session.
  • Backups: May persist up to 30 days for disaster recovery.
  • Analytics: Aggregated/anonymized data may be kept for up to 12 months.

You can request deletion of your data by contacting us. Some data may be retained as required by law or for security.

7. Security

  • All traffic is encrypted with HTTPS (TLS).
  • Authentication cookies use Secure and HttpOnly flags.
  • Access controls limit who can access production systems.
  • Regular monitoring for abuse and anomalous activity.

8. Your Rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data, as well as data portability and the right to object. You may also withdraw consent where processing is based on consent.
