This Cookies & Data Policy ("Policy") explains how AI Meet uses cookies, local storage, and other tracking technologies to recognize you and remember your preferences. This Policy applies to all users of the AI Meet platform.

Our use of cookies and similar technologies is designed to improve your experience and ensure the Service functions correctly. We comply with applicable privacy regulations including GDPR and similar laws.

2. What Are Cookies?

Cookies are small text files stored on your device that are sent to our servers when you visit AI Meet. They contain information such as your browser ID, language preferences, and session identifiers.

3.1 Authentication & Session Cookies

Auth0 Session Cookies: When you log in through Auth0, authentication cookies are set to maintain your login session. These allow you to remain logged in and access protected features without re-entering credentials on each page.

Cookie Name: auth0.is.authenticated

Duration: Session-based (expires when you close browser or log out)

Purpose: Maintains authenticated user session

3.2 Local Storage

AI Meet uses browser localStorage to store user preferences and session information locally on your device. This data is not sent to our servers automatically.

Data Stored:

  • Session ID (temporarily during active meeting)
  • User preferences (if applicable)
  • UI state (drawer visibility, scroll position)

localStorage data persists until you manually clear your browser cache or delete the application data. You can access and delete this data anytime through your browser developer tools or settings.

3.3 Session Storage

sessionStorage is used for temporary data that is cleared when you close the browser tab. This includes active meeting sessions and temporary state information.

Data Stored: Active meeting session data, temporary user input, message buffers

Duration: Cleared when tab is closed

3.4 Functional Cookies

We use cookies to remember your preferences and enhance functionality:

  • Language & Locale: Remembers your language and regional preferences
  • Theme Preferences: Saves your dark/light mode choice
  • Accessibility Settings: Maintains accessibility preferences for better usability

4. Third-Party Services & Cookies

4.1 Analytics - Vercel Analytics & Speed Insights

AI Meet uses Vercel Analytics and Speed Insights to understand how users interact with the platform and to optimize performance. These services may set cookies to track page visits, session duration, and user interactions.

Data Collected:

  • Page visits and session duration
  • Device type and browser information
  • Approximate geographic location (country-level)
  • Performance metrics (load time, Core Web Vitals)

Privacy: Vercel Analytics respects user privacy and does not store personally identifiable information. Data is aggregated and anonymized. For more details, see Vercel's Analytics documentation.

4.2 Authentication - Auth0

User authentication is managed by Auth0, a third-party identity provider. Auth0 may set cookies and track your authentication state across services.

Data Processed by Auth0:

  • Email address and profile information
  • Authentication credentials and session tokens
  • Login timestamps and IP addresses

Auth0's use of cookies and data is governed by their privacy policy and terms of service. By using AI Meet, you consent to Auth0's data processing practices.

4.3 AI Services - OpenAI, Upstash

AI Meet integrates with OpenAI (for AI models and speech-to-text) and Upstash (for session storage). These services handle data according to their own privacy policies and may collect usage data.

We recommend reviewing the privacy policies of these third-party providers:

Session Data: Meeting sessions and transcripts are retained for:

  • Authenticated Users: 24 hours (automatically deleted after retention period)
  • Guest Users: 2 hours (automatically deleted after retention period)

Cookie Retention: Session cookies are deleted when you log out or close your browser. Persistent cookies (if used) remain until their expiration date or until manually deleted.

Analytics Data: Anonymized analytics data is retained for performance analysis and may be aggregated into historical reports for up to 12 months.

6. Your Privacy Rights & Choices

6.1 Cookie Management

Most browsers allow you to refuse cookies or alert you when cookies are being set. To manage cookies:

  • Chrome: Settings → Privacy and security → Cookies and other site data
  • Firefox: Options → Privacy & Security → Cookies and Site Data
  • Safari: Preferences → Privacy → Cookies and website data
  • Edge: Settings → Privacy, search, and services → Cookies and other site permissions

6.2 Local Storage Management

You can clear localStorage and sessionStorage through your browser's developer tools:

Steps:

1. Open Developer Tools (F12 or right-click → Inspect)

2. Navigate to "Application" tab

3. Select "Local Storage" or "Session Storage"

4. Right-click and select "Delete" to remove entries

6.3 Do Not Track

AI Meet respects the Do Not Track (DNT) signals in browsers. If your browser sends a DNT signal, Vercel Analytics may limit data collection. However, some functionality may be affected if you disable all cookies and storage.

AI Meet implements technical and organizational measures to protect cookies and data from unauthorized access, alteration, or deletion:

  • HTTPS Encryption: All data transmitted between your browser and our servers is encrypted using SSL/TLS
  • Secure Cookies: Authentication cookies are set with "Secure" and "HttpOnly" flags to prevent client-side access and transmission over unencrypted connections
  • Access Controls: Only authorized personnel have access to server-side data
  • Regular Audits: We conduct security assessments to identify and address vulnerabilities
